The AD will create a call sheet for the production. A call sheet is one sheet that lists the name, phone number, and email address for each cast and crew member. It also lists the call time for each cast/crew. The AD or a member of the production staff will need to call and/or email each cast/crew member with the call time and directions for the first shoot day. This needs to be done no later than 24 hours before the call time the next day. It should be clear on the email that everyone needs to email back or call a specific phone number to confirm. For those cast/crew members who have not confirmed by early afternoon, then the AD/production person will call them and follow up to get a verbal confirmation. The AD will keep a written list of each person who has confirmed and shouldn't stop until everyone has been contacted and been confirmed. For future shoot days, the call time/directions info will be given out at the end of the shoot day via the new call sheet, so you only need to do this on the day before principal photography or for any cast/crew members who are coming in to work after the first day of shooting. For cast members, the call times and directions are usually given to their agents and confirmed through them. If actors don't have agents/managers, then they are contacted directly. I also recommend that you call the cast personally on the day before the first shoot day just to be assured that they got the message from their agents.
