DO YOU REALLY NEED TO SEND IT?
Use email sparingly. Never use email when a conversation or phone call will do.
LIMIT YOUR EMAIL USE
Try to limit your email use. Let others know that it is your policy to check and reply to emails three times a day: morning, afternoon and at the end of the day. Constant emailing can be incredibly distracting when you’re trying to work.
PRIVACY
There is no such thing as privacy with emails. Your message can be stored permanently. If you are not happy to scream your email at the top of your lungs whilst walking naked though your office, then you should not send it. Instead, use the phone or a clandestine meeting to communicate anything private or sensitive. If you do send an email by accident get on the phone immediately to limit the damage.
EMOTIONS
Think carefully before sending an email when emotions are running high. If you really want to shout at someone, do it over the phone or even better face-to-face. Then at least there will be no permanent record of it. As with text do not try to communicate deep emotions such as anger and love electronically.
SUBJECT LINE
A subject line is like a newspaper headline. It should briefly sum up the message the email contains. A good subject line ensures that the email will be opened and read.
BCC AND CC
Always use BCC when sending a mail shot. You do not want to expose the recipients to potential e-stalkers. Never use BCC in matters of confidentiality. Instead send a separate email to the third party with a short explanation. Be careful with cc’ing. Try to ensure that everyone cc’d will need or want to read the email.

Rely on the precise and correct use of language to get your point across. Think about what you want to say and then choose the best words with which to say it. Avoid the use of underlining, bold, italics or worse: CAPITAL LETTERS. Also, CAPITAL LETTERS IN COLOUR MAKE YOU SOUND LIKEADEMENTED DRILL SERGEANT.
