Therefore, the blank template remains at its revision level no matter how many times it is filled in and converted to a record. Only if you change the template – say, you want to add a new field – would the document be revised, and the revision indicator incremented. This is true for log sheets and even databases; the revision indicator is only increased when the form or database itself is changed, not each time it’s filled in. The final records are then subject to record controls, not document controls – and we’ll discuss those in a moment.
You can see that clause 7.5.2 really discussed only the creation and review of documents, not records.
So, to implement 7.5.2, we have to shelve the language of the standard and adopt our own common sense approach instead; it’s unlikely anyone would argue that the result will contradict the standard, since the standard makes no sense. Instead, our simplified takeaway from this requirement is that you shall:
• Create documents, for whatever subject you feel needs a document.
• Create them in whatever format you like.
• Make sure each document is identified with a title.
• If you assign a document number, fine, but expect everyone else to utilize the title.
• Make sure each document bears a revision indicator; try to use letters or numbers, not dates.
• Prior to releasing documents, have them reviewed by someone for adequacy and compliance; indicate the review somewhere in the document (“ approved by Joe Wankinghammer ”) so that users know they have been approved.
Now we can move onto the control of these documents, and their record counterparts.
