Messages that add nothing to the conversation are better left unwritten and unsent. Who doesn’t resent inefficient, ambiguous, time-wasting, wordy messages?

Here is one more important point: If your memo asks the reader to do something—and virtually every memo does—it’s usually smart to tell the person why. Abrupt commands, like show up at 1:45 or change the process from A to B, are far less successful than “Getting together will give us a chance to share... ” or “We’ve changed the CCC process because we need to comply with... ”
