Be Sure you need to have a meeting. Meetings are critical to doing business successfully. Leveraging the power of the collective IQ can produce results that exceed what we can do alone. Effective meetings are great ways to inspire, ignite, and initiate solutions to problems and to build strong working relationships. In productive meetings, people feel heard and valued, and you can generate greater buy-in regarding decisions and changes in the organization.
In many cases, however, you can use other tools to share much of the information that has traditionally taken place in meetings. You don’t always have to get people physically together in a room or on a conference call to get things done. For example, you can handle the FYI items, which clog far too many meetings, with e-mails or postings on a website.
Think of meetings as phantom investments. If you translate the salaries of the people who attend a typical meeting in your organization to an hourly rate, you will be amazed at how much that meeting actually costs. Companies that would never squander the company’s tangible resources don’t seem to mind wasting big dollars in meetings that you could have handled in other ways.
