Try not to have more than three main messages. The human brain can only retain a range of two to seven points in its short-term memory. If you’re struggling to narrow down your number of points, consider whether some points are actually sub-points of others. For instance, the two points ‘we need to reduce staff costs’ and ‘we need to reduce rent costs’ are actually sub-points of the main message: ‘we need to reduce costs’.

Look through a newspaper, book or magazine and check for the type of structure it uses. You’ll be sure to see lots of examples of the PPA technique in action.

Never leave a statement as an assertion, without evidence or proof of its validity. This will undermine your argument, and may lose you the confidence of the reader.

Always check your report for spelling and grammar. And don’t just trust the automatic checker on your word processing program – this can miss some potentially embarrassing mistakes.

If there are multiple authors of a report, make sure one person is in control of a master copy. Alternatively, there are now online programs where documents can be shared across multiple users.
