Clear and precise

Clarity in the ‘interpretation’ sections of reports is vital. The reader needs to have a clear idea of what assessment is being made, or what is being recommended. This is where many authors seem to struggle, probably getting too bogged down in the rest of the report and forgetting that someone somewhere will need to take this report and ‘action it’. In other words, you must remember your purpose and your target audience. Make sure that you communicate any recommendations or conclusions in a way that the intended audience will be able to identify and understand.

Precision is an important part of this. Given that someone will be undertaking some actions on the back of this report, you must ensure that they understand precisely what is required.

This means, amongst other things:

Being careful about the way you phrase things;

Doing your best to minimise the chances of misinterpretation;

Avoiding vague statements;

Structuring the report to ensure that any key conclusions or recommendations are obvious.
