2. Secure the facility for the large-group event and set the date.
⢠The site should be neutral, welcoming, comfortable, and accessible to all.
⢠The site should have plenty of parking spaces, adequate restrooms, numerous electrical outlets, walls that can accommodate tape or other adhesives, and breakout rooms, if needed.
⢠Arrange for round tables that can seat eight participants at each.
⢠Arrange for child care and transportation for those who need it.
⢠Determine who will provide the meal for the event.
3. Recruit and train facilitators; hire interpreters
4. Design the event and create discussion guide. (See Table 4.3 for a sample design of a four-hour event.)
⢠Alternate between small-group discussions at round tables and with the larger community as a whole.
⢠Allow time to summarize input from each round table
⢠Frame education issues as alternatives or choices as opposed to discussing an open-ended issue. (Public Agenda found this to be very helpful.)
⢠Create handouts of school data or other information to be used by discussion participants (if applicable).
⢠Specify all materials needed for the event (name tents, easel pads, markers, audiovisual equipment, etc.).
