5. Equalize
Now that you’ve got your mobile office beautifully under control, here’s how to keep it that way:
• Daily. As with any office, it’s important to set aside fifteen minutes at the end of each day to straighten things up and get yourself ready for the next day. While on the road, this is doubly important because you’ll likely be handling a huge volume of papers, phone messages, information requests, and e-mail accumulated during your trip. So set aside thirty minutes daily to sort and purge.
• Ongoing. Check voice mail and respond to what you can from the road. Use e-mail to stay connected and keep projects moving forward while you’re away. Make arrangements to have your assistant sort all your mail so that when you get back the stacks will be less intimidating to tackle. Be realistic about your need for “reentry time” and schedule one or two hours minimum to get caught up. But if you travel extensively, have your assistant send your mail and paperwork to you so you can stay on top of it. While on the road, if you discover you’ve either omitted an item from your packing list or included something unnecessary, revise your list then and there. Don’t wait until you start packing for the next trip, when it will be almost impossible to remember the changes you want to make. Immediately upon your return home, unpack your briefcase and bags and replenish any supplies used up while you were away. This will enable you to continue working seamlessly, and shorten your prep time for the next trip.
• Regular tune-ups. Keep a tight control on clutter by cleaning out your briefcase and car (trunk as well as interior) on a monthly basis, purging any dated literature, materials, useless supplies, toiletries, and files.
