Room Setup
Now let’s look at the room setup. If possible, put the lectern and screen on a raised platform. It gives the speaker more credibility and provides better visibility for the guests. Just as with home meetings, make sure it is at the opposite end of the room from the door, so late arrivals won’t disrupt the presentation for others.
If you’re using video or PowerPoint, don’t place the screen behind the speaker. They can’t see the audience because the projector is shining in their eyes, and the audience can’t see the screen because there is a human being located in front of it. Set the screen off to the side.
When I wrote my first book, I recommended that you have a large banner or sign with your company’s name at the front of the room. I also suggested having an attractive product display table and perhaps a “prosperity” table. (This is like the product table, but it features car brochures, pictures of local people winning awards, travel brochures, etc. If your company has award programs, a President’s Club, etc., you would have those brochures on this table.)
I began to see the meetings getting grander and grander. It got to the point that each city I visited to do meetings had a bigger, better setup than the last one. People were making photo boards, collages, and banners, hanging bunting, generally making the meeting rooms gorgeous. They were racing from work at 5 p.m. to have their rooms decorated by 8 o’clock. They stopped thinking about getting candidates there because they were concentrating so much on the room setup. So look for some balance here. We want a sharp room, but it’s all about packing that room with guests.
