How many off-site meetings will you have to attend to successfully complete the job? Can project information be exchanged by e-mail, phone, teleconferencing, and courier? Will you have to attend an initial briefing? What about progress meetings? Will you have to travel to a meeting every time the client wants to discuss an outline, a draft, or revisions?

Despite the communications revolution, corporate clients still love to schedule meetings. But for you, traveling to attend a meeting at a client’s office is time-consuming and expensive. If you suspect a project is going to require your attendance at meetings, quote accordingly.

Better still, try to convince your client to use other communication channels. When a client calls me to ask for a meeting, I often say, “Let’s save time and discuss your project now. If you need me to see a document, you can send it by e-mail or courier.” Sometimes, I will pay the courier expense or the teleconferencing fee to avoid a meeting. The few dollars I spend is a cheap price compared to the two- to three-hour time loss of traveling across town to a meeting.
