Most people hesitate to write, fearing they may not be able to write well. People limit their own development through imaginary fears. The truth is everyone can write well provided one is willing to learn the simple techniques of writing. You are no exception. Believe in your personal abilities and self-confidence will help you grow.
While writing, relax. Take a rough paper. Imagine the person you wish to communicate with is sitting across the table. But he cannot hear, so you need to convey your message in writing. What is the message? Note down each point you would like to make, as if he were sitting before you and you are talking to him. Have you got all the points right? Now mark them in order of preference by placing 1, 2, 3 and so on against each. When you finally present these points to the individual, you would want to have the most important one on the top. Once you have the priorities sorted out, you can prepare the final written note.
When speaking, one can attract the attention of the other person in several ways. But when you convey a message through writing, there is only one way to attract attention - make the introduction attractive. It must arouse the interest of the other person and make him feel like reading further. He must also get to know what is being communicated.
Divide each idea or point into a paragraph. Proceed logically. Common points can be strung together in a paragraph. Write short paragraphs. They make the matter more readable. Use simple words with short sentences. They ensure crisp reading and are easy to understand. As you write, ask yourself: Is my message clear? Is it concise? Is it convincing? When you answer ‘Yes’ to these questions, you have done your best.
Your ‘best’ need not necessarily be the last word on the subject, though. Let us not forget: there is always a better way of doing the same thing. If it were not so, all progress would come to a standstill. Therefore, make it a habit to revise what you have written. Again, ask yourself: can I improve upon it? If you can, go ahead and do it. Let your work bear the stamp of perfection.
All this sounds simple. But writing in itself is a technique, which one learns only through practise. It involves knowledge of the language, good communication skills and the ability to think in terms of how others will interpret the words and expressions used. The more you write, the sooner you will learn the techniques that work. Observe the work of others. Look for the best. Adapt ideas to suit your style. Soon you will have a writing style all your own.
