Remote Collaboration requires you and your team to adhere to the same standards of visibility required for local Collaborative Execution. That means that your remote team must have a board as well. That board should be a duplicate of your local board. Do you need software to do that? Not necessarily, but it helps.

Using a visual portfolio software tool does have its advantages: You can view the board from anywhere, there is only one board to maintain, and you can automate the production of performance measurements. As an added bonus, you can keep a history for lessons learned.

For these reasons, almost everyone graduates to a software tool, but not all teams like them. Some people want the immediacy and palpability of a physical board. They like to be able to walk up to the board, pull off a card, and examine the details of each work package. In the end, it’s your choice. I land on the automation side for ease of maintenance, accessibility, and performance management. Your mileage may vary!

A leading technology manufacturer found itself the victim of success: The team members couldn’t meet the demand for the company’s new flow meters. The problem? Each meter depended on key parts from five different sub-suppliers in different countries, which then had to be assembled and tested by two more subcontractors (also in other countries). With the suppliers spread all over the world, the team found it impossible to work toward a single goal: meeting the promised delivery deadline for the end product.

Timely communication was vital, but getting the teams to attend regular face-to-face meetings was impossible. To compensate, the project manager held tightly choreographed virtual meetings using an electronic Visual Project Board, which allowed all the team members to see the overall progress of the project and their individual roles in its successful execution. Essentially, they were able to replicate for the remote work teams the shared vision of the project status and take advantage of the collaborative execution processes they used locally.
