• When going over the forms with each new patient, the receptionist or nurse needs to state acceptable methods of co-payment and payment expectations at the time of each visit.

• Place a sign in an obvious area to remind established and new patients of the office policy, payment due at time of visit.

• Get superbills to the coder, and then to the HCFA or collection agency, as soon as possible to add to receivable accounts.

• Print out and send statements consistently on the same date each month. The statements should arrive no later than the fourth of each month. If you are in a large practice, then cycle statements out on the same week of each month. If statements are sent out in a random mailing, the patient usually pays randomly.
