TASK BREAKDOWN

Tasks that are too big might be the number one reason for procrastination. How do you eat an elephant? After the first bite, the waiter effect will help us keep the pace.138 Unfortunately, task breakdown still fails too often. One of the reasons is that we break down tasks as a detailed roadmap: from start to goal.

Before breaking down your task, start with the higher purpose of it. Determine whether and why you should spend time on this task and not on another arbitrary task. In what way will the world be a better place when you deliver the final result? One or two sentences is enough here.

Step two is to write down a list of stakeholders and why each one wants you to do this task. Stakeholders may be those who directly use your result, such as people reading your report. Also, those who pay and those who are indirectly affected by your results are stakeholders.

The third step is to find one to five small tasks that will result in feedback. For example, the list could include locating previous reports, writing headlines, or contacting someone who can give you valuable information. You’ll gain more knowledge about the main task by doing these smaller subtasks.

When you’ve completed the small tasks on your short list but not the main task, share the results with others, reassess the higher purpose, and finally find one to five new small tasks. You now take advantage of the knowledge you won while working on this task.
