If you have a limited number of resources and they are largely employees, then there’s probably little reason for the portfolio tool to have too much information on resources.

However, if your organization has a healthy mix of employees, contractors, and resources from outsourcing providers, you might find it useful to centralize a small resource database that’s not replicating what human resources captures or what is required in your corporate directory.

There is some useful information for managing a portfolio of initiatives that you may not easily be able to store or access in an HR system, ERP, or corporate directory. You may also find that it is less efficient or reliable to ask project managers to record this information in their project management tools.

What information is useful at a portfolio level?

Resource type (employee, contractor, outsourcer)

Statement of work (SOW) terms such as start/end dates, contract type (time/materials, fixed, etc.), hourly rate

Location

Skills and skill levels

Additional contact information (for example, instant messenger)

Availability calendar (if you don’t have one already)

Links to initiatives they have participated in, roles they took on, and when they were participating

Links to signed contracts
