• Take immediate action. If you can accomplish the task now, don’t postpone it unless other jobs are more important.

• Pass it on. If someone else should take action on the document, place it in a box or folder labeled “Delegate.”

• Defer action. If you want to put off something to a particular time, place the document in a box labeled “Defer until Future Date.” Note on your calendar the date you should take action. Add “tickler” entries prior to the date to alert you that it’s coming up. A set of folders bearing future dates will help you order these items. Flag deadline items with brightly colored sticky notes, which bear deadline dates and protrude from your folders. This way, deadlined items won’t get lost, and you’ll know what the deadlines are without pulling them out.

To avoid overstuffing your filing cabinets, try to throw out an item each time you add an item. You’ll surprise yourself by how often something superfluous can be plucked and chucked.
