As well as protecting the whole document with a password, restrictions can be set on just parts of the document. This is useful in spreadsheets, where formulas must not be changed when an office worker is entering data. The data they are working on can be changed but the formula calculations must remain the same.

Anti-virus software

Anti-virus software is used to detect any viruses, including Trojans and worms and to remove them to limit their damage and impact to the computer system.

The software tries to detect the virus before it enters the computer system. If a virus is detected then the software will either automatically quarantine it or will send an alert to the user asking what action should be taken. Which of these actions the software carries out depends on the choices selected during the installation of the anti-virus software package.

It is important that the anti-virus software is kept up to date. When the package is bought and installed, it will be the most up-to-date version. New viruses are being created and distributed all the time, however, so the software manufacturer releases updates to reduce the risk from these new viruses.

Anti-virus scans can also be carried out by the package. These can be scheduled to automatically run at a selected time and day, or can be done by the user at any time. These scans will search for any viruses that may be on the computer system and that have not been detected by the anti-virus package.
