Make Daily Plans
Almost everyone uses a smartphone or a personal computer nowadays. And yet, most people donât even know that they have a calendar on their devices. The rewards for or advantages of planning your day in advance affect every aspect of your day and life. When you plan your day, you are less likely to forget or miss any important tasks. Planning boosts your productivity. When you plan, you also learn to prioritize your tasks and eliminate activities that waste your time. If your daily plan includes five activities, and if you are still on task number two in the afternoon, you know that you cannot waste time on any extra tasks.
Through planning you also learn how to delegate and not undertake tasks if you are running behind schedule. Letâs say you plan to produce twenty units on a particular day. You realize that it takes you nearly three hours to produce five. This means that you cannot produce the remaining fifteen units on your own unless you work overtime. So, it is better to delegate or seek assistance from another person, or more than one person, to help you finish the remaining units.
Sometimes, tasks turn up unexpectedly. You might be asked to run an errand or do something that is not part of your daily plan. Now if you have a schedule, you can easily decide whether you can take on this extra chore and still manage to complete your planned tasks, or whether you should decline the request. Making a daily plan is very simple. You make a âthings-to-doâ list and keep it visible at all times. The old-school way of doing this is to write down your list on a pad or piece of paper and stick it on your desk.
However, technology has made this even easier. You can use the calendar on your smartphone or PC. After you have made a list of things to do, you can either number them or rewrite them in the order of importance or priority. This way, even if you have a long list of things and you manage to do only half of them, you will have done the important ones first. Even better, keep your list short. To do this, first delegate the tasks that are at the bottom of your list. Do not try to cram the list with too many things. Give yourself room to breathe or room for extra time because some tasks take more time than you estimate.
Letâs say you schedule two meetings, one after the other. If these two meetings are to take place at different venues, then, you need to factor in the travel time between the two locations.
Even if you plan ahead, you might get late for the second meeting due to unexpected factors such as traffic or something else. Space your tasks, so that they donât encroach on the next one and create a domino effect. Plan your day the previous night. This way, you will wake up fresh and ready to start your day because you have already done the planning.
