The morning huddle does not completely eliminate the need for meetings later in the day, however. Issues can and do arise that call for an impromptu discussion. If it is something that needs to be handled right away, stay focused and solve it in less than five minutes. If you determine the issue, (1) cannot be solved within five minutes, and (2) can be addressed at a later date, schedule a time to meet within the next twenty-four to forty-eight hours and then come with a specific, written agenda.

For all planned meetings, provide a copy of the agenda for everyone in attendance and strictly adhere to it. Do not allow the discussion to stray from the topic at hand and make sure everyone leaves the meeting with the same understanding of what is expected.

An effective meeting is where brainstorming occurs, ideas are born, teams are strengthened, and the mission is clarified. But stray from the agenda and you most likely will waste an hour on an issue that could have been resolved in twenty minutes. That’s precious time you can’t get back.

You must also develop a company dashboard. You need to post your objectives, along with the measure of how well your business is meeting those objectives, in a common area for everyone to see. Every part of every team needs to be able to see what the other teams are doing and how they fare. The purpose of giving the entire company access to all parts of the company dashboard is to provide staff with a clear view of how each department impacts the business as a whole. Often a staff member will spot potential improvements based on an entirely different department’s data. For example, “I notice we’re always sold out of inventory, but I also see that our overhead is too high. Why don’t we consider raising our prices?”
