In chapter 3, I discussed pricing your services. Once you have decided which method you will base your pricing on, you will need to communicate that pricing to your clients.

A common client complaint about their accountants and bookkeepers is that the client is frequently surprised (and almost always negatively) by billings. They don’t understand what they are being billed for. The first step in alleviating this problem occurs when you quote a particular bookkeeping or other financial service job.

Many bookkeepers are afraid to quote lest the job take longer than expected and they get stuck not being able to bill the difference. However, such tentativeness will almost certainly translate into billing disagreements with clients. Quoting can be done in such a way that both you and the client are in complete understanding of the scope of the service being provided (i.e., what you’re actually doing for them), the criteria upon which you are billing them, and their options with regard to payment (credit policies are discussed later in this chapter).

A pricing agreement can show a fixed price; if you choose to base your billings upon hours worked, you would alter the agreement to show that. Either way, the purpose of formalizing the quote is to clarify to both parties the work being done and the amount being paid. Note the paragraph that outlines payment policies.
