Framing an e-mail’s subject line
E-mail should be composed more like a formal letter than a casual text message. Each message should be structured, not loose and rambling. Frame your e-mail with four important parts: a subject line, a greeting, the main message, and an appropriate sign-off.
Start with a subject line that’s informative and concise. Several specific words or a phrase about the contents of the message will give the reader a teaser about what’s inside, and help him or her prioritize unread mail. Be informative, not generic. “Packing list for the family vacation” is much better than something as nondescript as “Hello.” (That’s what the greeting is for.)
Don’t leave your reader guessing by leaving the subject line blank. Some people receive oodles of e-mail, and the subject line could make the difference between whether they’ll read yours or not.
Don’t overdo it either, exaggerating with your subject line in hopes of grabbing your reader’s attention. Phrases like “Emergency! Read now!” are excessive and unnecessary. (If it’s truly an emergency, you shouldn’t be sharing the word by way of e-mail anyway.) Simply be direct and informative, and if others think the subject in question is, in fact, an emergency, they’ll be quick to respond. You might say something like, “Important: lost cell phone found at soccer practice,” or whatever the situation may be.
