One great best practice of managing email is to block out some Q2 time to check your email throughout the day—a Q2 Time Zone. This allows you to check every couple of hours instead of every couple of minutes. Research shows that every time you interrupt yourself and come out of the flow of your work, the recovery time required to refocus your attention gets longer and longer. With this rule, you can focus on your work and, at a natural stopping point, look up and see if anything important has come in, without having been distracted by the other thirty emails that came in while you were working.
Time zones for email may not be doable for everyone. Some people are in the position of “If my boss needs me, my boss needs me.” Most technologies have features that allow you to highlight the key people whom you need to respond to. Do you need a color or a sound or a big label showing up on your screen for your boss or spouse or partner? Set up that rule so that you can put your finest attention and energy on the project at hand without constantly worrying that you will miss something from key people.
Be careful how many people you prioritize. Pick the two to three you really need to respond to immediately and no more. Otherwise, you will have a chaotic mess of dings and pings, bringing you right back to where you started—total distraction and interruption.
