Assign a Priority Level to Each Task
As you identify tasks that need to be inputted into your schedule, it is crucial that you assign a priority level to every single task on your to do list. This way, as you are organizing them into your schedule, you can assign them based on the level of priority, and you can adjust them as needed. It is a good idea to place a priority number next to a task itself, too, in order to ensure that you are aware of where there may be flexibility in your calendar, and where there may not be. For example, work is a non-negotiable task that is not particularly flexible; however, you might find that how you spend time after work is flexible so, if need be, you can make adjustments to accommodate for last minute needs or desires. Say, for example, you have time after work scheduled to get together with a friend, but you realize that you need some time alone on that particular day, or that your family needs you. In this case, you might realize that it is okay for you to reschedule with your friend to create time for yourself or your family so that you can deal with urgent matters.
As you assign priority levels to tasks, realize that this does not mean that anything on your schedule is low priority to the point where it would be perfectly reasonable for you to skip doing it. Instead, it means that if need be there is some flexibility in your calendar so that you can adjust things as you see fit.
