Folders with polyester cover sheets allow the contents to be viewed and provide a backing of buffered material. This type of display folder is best used when the items are fragile, important, or handled often.

Hanging Folders Aren’t Just for the Workplace

Hanging file folders can be used to store documents, although filing cabinets are not considered proper housing for archival collections. However, they may be the only practical option for home collections. Cabinets offer ease of access, but they wear on folders and the materials in them, lack flexibility for adding or moving collections, and offer low storage density per square foot of floor space. If you decide to use hanging folders in a cabinet, don’t allow papers to slump inside the folders because the papers will deform over time. Instead, use a spacer to hold the papers upright.

Archival-quality hanging folders are preferred for filing cabinets, but regular hanging folders can be used as long as the documents are placed inside archival-quality file folders. Using regular hanging folders may save you money, especially if you have many documents to file.

When to Use Sleeves

If your papers are brittle or heavily used, protect them in polyester sleeves. These sleeves reduce the risk of damage due to handling. Polyester is best for documents that you would like to refer to without removing them from their sleeves. Use sleeves that are larger than the original, because any part extending outside of the sleeve may be damaged. Polyester sleeves produce an electrostatic charge that can lift powdery hand-applied media (such as pastel, charcoal, and pencil) or items with fragile or flaking surfaces, so they are not suitable for use with these types of items.

Marriage certificates, property deeds, school diplomas, and legal documents often are printed or handwritten on high-quality paper and thus can survive for years in excellent condition. You may need only to place them in folders.
