A Better Scenario
Each time a meeting approaches, the project manager should consider whether thereâs any way to avoid the meeting altogether. If you only need to get status reports each week, perhaps just walking through the worker site and checking with workers for a minute or two is enough. Then write up your notes and avoid the meeting altogether. Now productivity continues to hum, and you have all you need.
Meanwhile, back to our deck rebuilding project. As you remember, our original time of 317 hours and budget of $18,985 was expanded to 1,057 hours and $52,850.
Because there are only four people working on this project, I imagine that we will need one meeting per week, so they are ready to hit the ground running. They might be able to get by with one 30-minute meeting per week and an additional 2 hours work time per week over the 9.7 weeks. Said another way, this is an additional 13.4 hours to be added to the project. This means the 1,057 required hours is now 1,070 hours and the cost has added $650 more, for a total of $53,500.
