Be vigilant about data you want to keep, especially older archival footage. Storage devices evolve and data can erode one byte at a time. This is known as bit rot.

Don’t forget to back-up your data. Redundancy is your friend when disaster strikes! Don’t let a hardware failure ruin all your efforts to consolidate your data.

3. Pick a Cloud

If you are able to accept the risks of cloud storage, including potential surveillance and hacking, cloud storage can be an excellent decluttering tool. You’ll love that you can access your files, any time, from anywhere. All you need is an Internet connection and a web browser (or a mobile app). You can reliably work on the current version of your document no matter the hardware. Synchronized files are a joy. You’ll also love that hardware failure no longer means a catastrophe. Yes, it’s very sad when you shatter your phone but at least your data can be resurrected.

That said, don’t take an ad hoc approach. With accounts on Dropbox, Google Drive, and iCloud, it’s easy to fracture your cloud storage across several platforms. It may be necessary to have accounts on all these platforms because of the workflow preferences of the people and projects in your life.

After a few years, it gets tricky to remember where to find the files you need. Nothing kills productivity like the frustration of searching for files across multiple platforms. It’s been a painful experience. Truthfully, I’m still reorganizing my files onto one cloud. When you have years of files to sift through it takes a lot of short sessions. Try not to do more than 30 minutes at a time to keep your sanity while processing the backlog.
