RFI vs. RFP/Tender vs. RFQ

First, you should decide which route is best to pursue:

• Request for information

• Request for proposal/tender

• Request for quote

Note that these three approaches are not mutually exclusive. An RFI typically precedes an RFP, with bidder replies informing your solicitation. You can embed some components of an RFQ into any solicitation where you request pricing.

Still, they are different approaches, so let’s summarize them in Table 9.1.

If you follow the adaptive methodology in this book, you may not need to issue an RFI and instead go straight to an RFP that includes an RFQ component. Still we wish that more customers went with RFIs, especially in particularly tricky environments where you seek multiple technologies at once, or you think your requirements remain too fuzzy. The major trade-off is that you may expend 6 to 12 weeks issuing the document, giving vendors time to respond, and then assessing the written replies.
