The next level of facility work is usually a facilities operation department that is in charge of maintaining existing buildings, grounds, and landscaping and the infrastructure needed to support a safe and secure environment. Typically, this is a centralized department that the library would contact for building repairs or equipment failures. Sometimes this includes the need for larger physical actions beyond what the library staff can comfortably accomplish. The key here is to be a partner with the facilities department on campus so that proper attention can be directed toward needed actionable items.
In most cases, housekeeping also falls under the facilities department but addresses the cleaning and more general maintenance of the campus and will usually have an established list of responsibilities. These responsibilities might seem limited, but they have been negotiated with administration so as to address expected costs and budgetary concerns, whether housekeeping is an in-house service or a contracted service from the outside. Once again, the key here is in knowing what is in the contract and being clear on the expectations of services provided.
Library staff members need to be prepared to address any facility issues that are not covered by the centralized institutional department. This might include housekeeping coverage at night or on the weekends, maintenance of library-specific equipment, or arrangements related to special events or outreach activities. Facility support will vary by institution, and itâs important to be aware of what is available to you so that you can advocate.
