Transparent Record Keeping

OSSR staff notes, in addition to records of any outreach efforts, are shared by giving permission to select individuals within several offices to view the information in Google Docs or Starfish. These offices may include the Office of Financial Aid, the Bursar’s Office, the deans’ offices, and the Office of the Provost, all of whom may access the various communications and notes pertaining to specific students over the course of the semester.

This “case-management” approach also fosters long-term relationships with students. Since the “at-risk” lists are divided up and assigned to staff according to students’ major and cohort status (first-year cohort for first-time, fall freshmen), OSSR staff frequently have the same students reappearing on various “at-risk” student lists. The “at-risk” cohort lists often include students who are identified multiple times.

When OSSR staff contact students by phone or by classroom visit for one reason, the case-management approach dictates that they discuss all of the student’s issues during that one intervention. Then, notes and record keeping that reflect the results of the intervention with students are posted in multiple locations in Google Docs or Starfish. In fact, the OSSR first discovered the power of this intervention style when reaching out to students on the drop list. Not only would students share their issues and concerns about their finances, but also they discussed other challenges including issues with courses, faculty, housing, their families, and so on.
