Get Permission to Contact the Classroom Teacher (If Applicable)

One of the most valuable avenues for gaining information about student needs and meeting educational goals is through contact with the student’s classroom teacher. Ensure that you have permission from the parents before taking this step. I’ve never had a parent say no to this request; on the contrary, parents are usually delighted that I am willing to take this extra step to learn about their child and coordinate with the other educators in his or her life. Most schools’ Web sites display each teacher’s e-mail address and phone number if the parents don’t have the contact information handy.

When you contact the classroom teacher, offer a little information about your goals for the student. However, be careful not to venture into the realm of sharing private information about the student or the family. Do not complain or vent. Keep your communication professional in tone and focused on quantifiable learning objectives.

Sample E-Mail to the Classroom Teacher

Hi, Mr. Johnson—

My name is Jane Smith, and I am a tutor in the nearby community. I recently started working with Benjamin Jones as a new tutoring student to help him be more successful in your algebra class. His parents gave me permission to contact you as part of our efforts to help Benjamin improve his understanding and performance. I wanted to touch base with you via e-mail to get any feedback, suggestions, or tips for success in your class that will help me support Benjamin. He told me that he currently has a D in your class. I want to help him do better on his weekly quizzes and tests so that he can earn a higher grade.

Please let me know what you’ve noticed with Benjamin so far, as well as any other suggestions you might have to help him raise his grade and be successful in algebra this year. Also, does he turn in his homework assignments regularly? I appreciate your time.
