ADMINISTRATION

Depending on the size of the practice, there may be an manager. There are varying levels of managers depending upon responsibilities, education, and experience. A manager who has on-the-job training with minimal education is usually called an office manager. A manager with advanced education who provides strategic direction and management is usually called an administrator. A chief executive officer or chief financial officer may be named in larger practices. There are many varying levels in between, and often all managers are referred to as practice managers. Although the name is not important to most managers, it may be quite insulting to call an administrator the office manager.

The qualifications and expectations are different with an office manager compared to the administrator. An administrator is responsible to the board of directors and may have a designated physician that he reports to on a regular basis. This role is focused on strategic vision, financial, human resource, and operations management. This person may supervise department heads or supervisors, who provide hands-on operation oversight. Office managers have fewer strategic responsibilities and are usually focused on the day-to-day operations of the clinic, such as staffing, scheduling, and billing functions. Practice managers can be anywhere in between office managers and administrators.

Practice managers may also be from outside the practice and work for a management service organization or hospital entity. They still supervise staff and report to the physicians, but they are members of a different organization. Depending upon the physicians and management organization, the manager’s responsibilities may closely resemble that of an employed manager. Since the manager is employed by someone other than the physicians, there may be a disconnect between the manager and the physicians or staff.
