Individual Agenda Items

As indicated in Chapter 3, each agenda item typically includes the following: the topic; whether it is for information, discussion, and/or action; background; relevant information; fiscal impact; relevant strategic goal; and, where appropriate, the superintendent’s recommendation.

We believe the actual agenda items should be concise and each individual item should be covered in no more than two pages. Additional supporting information, if it is not extensive, can be included behind the agenda item. However, if there is substantial documentation, it is best to provide it “under separate cover,” meaning in a document that is separate, but accompanies the packet.

We should also note that many districts have a standard format to guide the preparation of any staff report. One such guide we saw required that the issue be defined, the history reviewed, any committee findings and recommendations noted, and actions requested of the board be clearly stated.

One small but important note: The person responsible for assembling the packet must make sure the page numbers on the table of contents correspond to the actual pages where the individual agenda items appear. Otherwise you’ll have frowning and frustrated board members continually rooting through their packets for the right page!
