* Note: Some items have several actions. A birthday party invitation requires you to RSVP, buy a gift, and attend. You first put the invitation in To Call or To Answer. Once the RSVP is made, it moves to the To Buy action, and finally into To Attend because the directions to the party are in the invitation. Once you’ve attended the event, do you need to keep the invitation?

Hot Action Files - Email

Put It Into Practice: 30-60 minutes

Your email Action system slightly differs from the paper-based system because the Inbox is constantly receiving new items. Additionally, when you open your Inbox, your mindset is usually to address ALL items right now (Do It). However, the idea behind the email Action system is to move items out of the Inbox that do not require immediate action (Delay It). They may have due dates and deadlines that are further out. Therefore, these items that require you To Call and To Answer can be addressed together at a later time. Moving those items into the Action folders, and clearing out items that simply need to be filed (no action), allows you to focus on the items left in the Inbox.

Every email program/app looks different but functions in the same way. You can create either "folders" or "labels" to sort and separate messages into categories or subjects. These titles are usually found as a list on the left side of computer screens or as drop-down lists on mobile devices. You can then move messages to those categories by dragging them or selecting the category from a list. Refer to your email application's Help menus to learn how to create folders/labels.

Do It!

Just as you did in the Paper Action Files, create folders/labels with the following names. Computers and apps sort numbers before letters. Adding a "1" in front of each name keeps the Action folders together AND at the top of your list of folders/labels (cool trick!).
