➤Greet the person and say your name.

➤Make a little friendly small talk, but not more than a couple of minutes’ worth.

➤Speak clearly and make your points quickly.

➤Take notes.

➤Stay positive.

➤Wrap up the call with a brief recap of next steps.

➤Send a follow-up email outlining what you talked about.

➤Thank the person for their time.

DON’T

➤Mumble, even in an open office where you’re trying to keep it down.

➤Talk too loudly, especially in an open office where you’re trying to keep it down.

➤Use speakerphone unless you really have to.

➤Put someone on hold or transfer them without asking them first.

➤Call from a loud place, like the street, where the person will have trouble hearing you.

➤Call someone unless you know you have enough time to talk to them.

➤Eat or drink while you’re on the phone.

➤Curse or use language you’d be embarrassed for your boss to hear.
